Your information, handled with care
This notice explains the distinction between drafting a letter on your device and choosing to send us correspondence.
Who is responsible
Pavilionvaultbamboo Horology Media Ltd is responsible for personal information it receives through editorial correspondence. Our registered office is 27 Frederick Street, Birmingham, B1 3HH, UK, company no. 15681294. For privacy enquiries, email [email protected] with “Privacy” in the subject.
The local letter tool
The contact tool constructs a plain-text preview in your browser. It does not submit entries to us, store them in localStorage or create an account. Entries remain in page memory while the page is open. Your browser may independently offer form autofill or session restoration.
Copying places text on your device's clipboard when your browser permits it. Downloading creates a text file on your device. You control those copies and should delete sensitive material when no longer needed. If you then email the letter, your email provider processes it under its own terms.
Information we receive
If you email us, we receive your email address, message, supplied name and any attachments or other information you include. Please avoid sending unnecessary personal information, complete serial-number collections, financial details or information about other people without an appropriate reason.
Loading a website necessarily sends technical information, such as your IP address and browser request details, to the infrastructure serving it. Hosting and security systems may process request logs for delivery, fault diagnosis and abuse prevention. The site code does not contain advertising pixels, visitor profiling or analytics integrations.
Purposes and legal bases
We use editorial correspondence to consider questions, investigate corrections, maintain the integrity of our publications and respond where appropriate. Our usual legal basis is legitimate interests in operating an independent journal and managing its correspondence. We may process information to comply with a legal obligation or to establish, exercise or defend legal claims where applicable.
Sending a message does not subscribe you to marketing. We do not sell correspondence or publish personal details merely because you contacted us. If we wish to attribute a reader contribution publicly, we will seek agreement on the proposed attribution.
Sharing, transfers and retention
Information may be handled by providers supporting email, hosting, security and ordinary business administration, subject to their role and applicable safeguards. Information may also be disclosed where legally required. If a provider processes personal information outside the UK, applicable data protection transfer requirements must be observed.
We retain correspondence only for as long as reasonably needed for its purpose, including follow-up, correction history and legal requirements. Relevance, sensitivity and any ongoing dispute affect that period. Material retained as evidence of an editorial correction should be limited to what is necessary.
Your rights
Depending on the circumstances, UK data protection law gives you rights to request access, correction, erasure, restriction or portability, and to object to processing based on legitimate interests. These rights are not absolute. Contact us using the address above; we may need proportionate identity information before acting.
You can complain to the Information Commissioner's Office. Contacting us first may help resolve the concern, but it is not a condition of your right to complain.
